BROKERAGE ADMINISTRATOR

POSITION OVERVIEW

Responsible for ensuring all transactions are compliant with NC Real Estate Commission rules,

communication with brokers, and document preparation.


ESSENTIAL DUTIES AND RESPONSIBILITIES

• Communicate with the Real Estate Commission and conduct online research for compliance.

• Coordinate closings and maintain the closing checklist in the CRM system to ensure compliance.

• Work with attorneys on behalf of brokers to review and clarify document language.

• Onboard new brokers, address inquiries, and provide training on forms and technology.

• Assist the BIC with organizing broker one-on-one meetings, sales meetings, and securing

guest speakers.

• Act as a liaison between brokers, BIC, marketing, and property management.

• Maintain and update the leasing and sales pipeline.

• Track listings, expiration dates, and renewals.

• Manage and maintain the company listings database, including property updates, representation

agreements (WWREA), and lease/sale commission requests.

• Prepare documents, including but not limited to Tenant Representation Agreements, Listing

Agreements, Purchase and Sale Agreements, Closing Documents, and Leases.

• Communicate with brokers’ clients as needed.

• Oversee CRM administration.

• Manage the industry event calendar for brokers and arrange their attendance.

• Handle tradeshow logistics, including pre-events, broker schedules, and booking meetings.

• Support company event planning, execution, and act as the primary contact on the event day.

• Perform other duties as assigned.


MINIMUM REQUIREMENTS:

• Commercial real estate experience preferred.

• NC Broker’s license preferred.

• College degree and a minimum of three years of related experience and/or training.

• Strong organizational skills, proficiency with technology, and excellent communication abilities.

• General understanding of financial terms and principles, with the ability to calculate basic figures such

as percentages.

• Ability to interpret and follow general instructions in standard situations, troubleshoot issues, and apply

advanced analytical skills to problem-solving.

• Advanced skills in Google Business Suite, Microsoft Office Suite, Adobe, DocuSign, and Zoom.

• Ability to make decisions based on a general understanding of procedures and company policies, ensuring

deadlines and objectives are met.
